Bulk Import Players
Importing into this team - if your file covers more than one team (e.g. a multi-sheet Sport:80 export), double-check you're picking the right sheet below.
Upload a CSV or Excel file (including a raw Sport:80 registration export) or paste CSV data. Only name is required - every other column is optional, including blank ones.
Archives sessions and match records before the selected date. Anything on or after that date stays in the current season. Players stay on the roster.
Label for the season being archived (e.g. 2024/25)
This names the season you're closing out, not the new one you're starting.
Archive sessions & matches before
Sessions and matches on or after this date will stay in the current season.
📤Export first! Export your Players, Training, and Games data before starting a new season. Session and match counts will be reset to zero and cannot be recovered.
⚠️This cannot be undone. Previous season data remains viewable in Training and Games tabs, but player match and session counts will be permanently reset.
🔄 New Season — All Teams
Archives sessions and match records before the selected date for every team in the club. Anything on or after that date stays in the current season. Players stay on each team's roster.
Label for the season being archived (e.g. 2024/25)
This names the season you're closing out, not the new one you're starting.
Archive sessions & matches before
Teams whose earliest session is on or after this date will be skipped automatically.
📤Export first! Ask each team's coach to export their Players, Training, and Games data before proceeding. Session and match counts will be reset to zero and cannot be recovered.
⚠️This cannot be undone. Previous season data remains viewable in each team's Training and Games tabs, but player match and session counts will be permanently reset across the whole club.

About SquadApp
SquadApp
Built for grassroots clubs. By someone who gets it.
Our Mission
Grassroots sports clubs are run by volunteers — coaches, parents, and committee members who give their evenings and weekends so young people can play. They deserve tools built for them, not software designed for professional franchises or repurposed from generic platforms.
SquadApp exists to give every club — no matter how small — a single, simple place to manage players, run training sessions, organise fixtures, and handle the administration that comes with modern club life. Less time on WhatsApp threads and spreadsheets. More time on the court.
What We Help Clubs Do
Player management — rosters, attendance records, and season history in one place.
Training sessions — plan, track attendance, and log session notes across every squad.
Match day — squad selection, quarter assignments, live scoring, and match logs.
Parental consent — GDPR-native digital consent flows with a full audit trail, no paperwork.
Club communications - noticeboards, fixture schedules, and club directories visible to every member.
How We Work
We build with clubs, not just for them. SquadApp was shaped by direct experience coaching and managing grassroots teams — the frustrations of juggling WhatsApp groups, paper sign-in sheets, and ad hoc spreadsheets informed every design decision. Every feature earns its place by solving a real problem that real volunteers face.
We are GDPR-native by design. Member data is processed lawfully, stored securely, and never sold or shared with third parties. Clubs remain the data controller for their members at all times.

SquadApp
Players
Add players, set positions and track attendance & squad status
Add a player — tap + Add Player, enter the player's name and squad number. A position and notes can also be set at this stage.
Player position — tap the POS pill on any player card to cycle through positions (PG → SG → SF → PF → C → clear). This sets the player's default position used when generating squads.
Games played counter — each player card shows a count of confirmed matches they have appeared in, calculated live from the match log.
Player profile — tap any player card to open the full profile: edit name, squad number, position, date of birth, parent/guardian contact, medical notes, and squad status. Also shows registration status and consent history.
Field-level edit tracking — each field in the Registration and Parent/Guardian sections shows who last edited it and when. If a parent submitted the consent form, it shows as Via consent portal instead of a name. This creates a clear per-field audit trail with no extra steps.
Consent update indicator — a small red dot appears in the top-left corner of a player card when a parent has submitted the consent form and you haven't yet reviewed it. It disappears automatically when you open the player's profile.
Squad status — set each player as Core, Squad, or Social to influence automatic squad generation.
Registration status — inside the player profile, tick Club Registered and/or Basketball Ireland Registered to track registration. These can also be set by the parent directly via the consent form. Both fields are cleared automatically when starting a new season.
Delete a player — tap the × on the player card. This is permanent and cannot be undone.
Consent link - inside the player profile, tap Send Consent Link to generate a unique link for the parent or guardian. A modal shows the link, which you can send directly by email to the parent's registered address, or copy manually to share via WhatsApp or SMS. The player profile updates automatically when they submit. PRO
Remove from Team - at the bottom of the player profile, tap Remove from Team to take a player off this specific team. If they're also on another team, that team is completely unaffected. If this is their only team, they move to the Unassigned pool (Admin Panel → Teams) so an admin can reassign them later without re-creating their profile. Unlike the × on the player card, this isn't permanent - it's a team change, not a deletion.
Send consent to all — tap ■ menu → Send Consent Forms to send a consent link to every player on the roster who hasn't yet submitted one. Players who have already completed the form are skipped automatically. PRO
Export roster - tap the download icon in the Players section header to export the full roster as a CSV file, including name, squad number, position, BIPIN, DOB, Guardian 1 and Guardian 2 name/phone/email, squad status, matches played, sessions attended and attendance percentage. CLUB+
Bulk import players - two entry points: (1) tap the upload icon ↑ in the Players tab header to import into the active team; (2) tap ■ menu → Admin Panel → Teams, expand a team row, then tap Bulk Import Players - this switches to that team automatically. Upload a CSV or Excel (.xlsx) file - including a raw Sport:80 registration export, password-protected or not, the app detects a password automatically and only asks for it if needed - or paste CSV data directly. Download the template from the import modal for the exact column layout, or just upload a real Sport:80 export as-is; column matching is flexible (e.g. any heading containing "first name" or "guardian" is recognised) and every field except the player's name can be left blank. Irish mobile numbers are normalised to +353 format automatically. Existing players (matched by name) are skipped. If a file has more than one sheet (e.g. a combined multi-team export), pick the right one from the sheet selector - a warning appears if the selected sheet name doesn't look like it matches the team you're importing into.
Club-Wide Import — in the Admin Panel Teams tab, use Club-Wide Import to onboard an entire club in one CSV upload. The file includes a team column so players are routed to the right team automatically — new teams are created as needed. Supports all four team types (Standard, Camp, 3×3, Academy). Players appearing on multiple teams are auto-linked by BIPIN or name+DOB. Download the template from the import modal. Dates DD/MM/YYYY, phones auto-normalised to +353. CLUB+
Sort players — tap the Sort button (left of the export icon) to change the player list order. Options: Name (A–Z), Training attended (most sessions first), Games played (most games first), Points scored (highest scorers first), and Squad status (Core → Squad → Social). The button highlights in orange when a non-default sort is active. Sort preference is session-only and resets on reload.
Training
Log sessions, mark attendance and view training history
Log a session - tap + Session, set the date, then mark each player present or absent. Tap the session card to expand it and mark attendance.
Session description - the short text shown under a session's date (e.g. "Friday 6:30pm till 7:45pm") can be edited any time from the expanded session card, the same way as time and location.
Repeat weekly - tick Repeat weekly when creating a session and pick a "Repeat until" date to generate every occurrence on that weekday in one go (e.g. every Wednesday until the end of term). Do it once per weekday - once for Wednesday, once for Friday - to set up a full twice-weekly training schedule in two taps.
Shared/joint sessions — if two of your club's teams train together (for example a squad split across two league entries), tick Also train with when creating a session and choose the other team. The session then appears on both teams' schedules, attendance is recorded once and shown identically on both sides, and a Shared with… badge marks it clearly. Fixtures, match invites and results stay completely separate per team - only training is shared. Tap Unlink from… inside the session to stop sharing it. Setting up or editing a shared link needs access to both teams (or admin).
Session time & location — each expanded session card has an inline time picker (clock icon) and a location field. Set the time and type a venue name directly inside the card. Both appear in the collapsed session header as a preview.
Session notes & plan - each session has a notes field and a training plan field. Both can be edited by coaches, managers, and assistants. Attach up to 5 files (PDFs, images, docs - 10MB each) to the plan directly, useful for drill diagrams or session outlines.
Training invites - tap Invites inside an expanded session to send a one-tap yes/no email to all parents. Responses appear beside each player in real time. Before attendance is marked, the collapsed session tile shows a live "X coming / X can't" summary as responses come in. Invites can only be sent once per session and are only available to the Coach role. CLUB+
Edit attendance - tap any session card to reopen it and update attendance marks. Assistants can mark attendance and edit session notes, but cannot create or delete sessions.
Cancel a session - tap Cancel inside an expanded session (coach or manager only) and optionally add a reason. A cancelled session stays visible with a badge instead of being deleted, its attendance toggles are hidden, and it's excluded from attendance percentages. If invites were already sent, invited parents get an automatic cancellation email; either way a notice is posted to the team's Noticeboard. Tap Un-cancel to reverse a mistake.
Attendance stats — each player card in the Training tab shows a 5-dot recent history and an overall attendance percentage across all sessions.
Previous seasons — archived season training records are visible in a collapsible section below the current season. Use ■ menu → New Season to archive and start fresh.
Export training — tap the download icon in the Training section header to export all sessions and attendance records as a CSV file. CLUB+
Fixtures
Schedule upcoming games and see the next match countdown
Add a fixture — tap + Fixture, set opponent, date, time, venue, and competition name.
Next match strip — the app header always shows your next upcoming fixture and a live countdown to tip-off.
Generate squad from fixture - tap Generate Squad directly on a fixture card in the Fixtures tab to jump straight to squad selection for that game.
Cancel a fixture - tap the cancel icon on a fixture card (coach only) and optionally add a reason. A cancelled fixture stays visible with a badge instead of being deleted, and squad generation is hidden. If match invites were already sent, invited parents get an automatic cancellation email; either way a notice is posted to the team's Noticeboard. Tap the undo icon to reverse a mistake.
Fixture Coordinator view — users assigned the Fixture Coordinator (FC) club role can access a cross-team fixture calendar via ■ menu → Coordinator View, giving a club-wide overview of all scheduled games. PRO
Squad
Auto-generate squads, assign quarters and confirm selections
Squad management is on the Fixtures tab — expand a fixture to manage the squad directly from the Fixtures tab. Tap Generate Squad on a fixture card and the squad panel opens inline below it.
Generation priority - configure whether squad generation prioritises attendance, match experience, picks from a previous match (choose one of the last 5 matches and reuse its squad as the starting point), or builds the squad from only one Squad Status tier (Core, Squad, or Social) - picking the Squad Status option reveals a dropdown to choose which tier. Tap Squad Selection Settings at the top of the Fixtures tab to expand squad size and priority options.
Attendance window — by default, attendance is measured across the full season. Optionally narrow it to the Past Month or Past 3 Months to weight recent form more heavily. Toggle these checkboxes in the Selection Priority config card — only one window can be active at a time, and selecting either overrides the "full season" default.
Move players in/out - tap the ⇄ button beside each player to move them between Selected and Not Selected.
Invite status at a glance - each selected player's card is bordered in green once they've accepted their match invite, red if they've declined, and grey while awaiting a response - the same colours used in the Invites modal.
Quarter assignments - switch to Quarter view to see each quarter's starter slots. Tap Assign… on an empty slot to open a list of eligible players, or the ⇄ button on a placed player to move them to another quarter or unassign them. Tap SUB to flag them as a substitute. In Players view you can also tap Q1 to Q4 under a player to put them in that quarter: the first 5 are starters and anyone added after that becomes a substitute automatically (marked SUB).
Squad position override — tap the POS pill beside a player to set a per-squad position, independent of their default player position.
View mode — toggle between Players (alphabetical) and By Quarter views to see the squad laid out by quarter slot.
Squad notes — tap the Notes button on a squad panel to add or edit a note specific to that fixture's squad.
Confirm squad — once the squad is finalised, tap ✓ CONFIRM MATCH SQUAD. This locks the squad and creates a match log entry that the Games tab will use for live scoring and the games played counter.
Games
Record results, live scoring per quarter and game history
Add a match — tap + Match and enter opponent, venue, date, and final score. Matches can also be created automatically when you confirm a squad in the Fixtures tab.
Squad section — each match tile shows the confirmed squad. Tap the squad header to expand it and see which players were selected and which quarters they played.
Lineup and substitutions - inside a confirmed match, tap Move to change who plays each quarter (or half) and Sub to make a substitution during the game. The app records who went on and who came off. CLUB+
Live quarter scoring - inside a confirmed match, use the scoring panel to record points (+1, +2, +3) and fouls per player per quarter. Scores accumulate in real time and are saved to Firestore. If the score is tied after the 4th quarter, tap +ET to add an extra-time period - repeat as many times as needed until the game is decided. PRO
In-game position override — inside a confirmed match, a player's position can be changed for that game only, independent of their default and squad positions. CLUB+
Star performance — tap the ★ beside a player in the squad list to award them a top performance star. A maximum of 3 stars can be awarded per game across the whole squad.
Previous seasons — archived season game records appear in a collapsible section below the current season.
Export games - tap the download icon in the Games section header to export all match records as CSV. A per-game detailed breakdown is also available on each individual match tile. CLUB+
Share match cards - inside a match, tap Share to generate ready-to-share images: final score, top scorers, and a full team sheet, carrying your club's crest. Share one card or all three at once straight to WhatsApp or your gallery. Player names show as first name plus last initial by default to protect privacy - toggle to full names before sharing if you'd prefer. PRO
Consent Portal
Send digital consent forms to parents via email — no parent account needed
The Consent Portal lets coaches send a unique, single-use link to a parent or guardian to complete player registration digitally — no parent account required.
Send a consent link — open a player profile and tap Send Consent Link. A modal appears showing the unique link. Tap Send Email to deliver it directly to the parent's registered email address, or copy the link manually to share via WhatsApp or SMS.
Send to all players - tap ■ menu → Send Consent Forms to email a consent link to every player on the roster who hasn't yet submitted one. Players who have already completed the form, or who have no email on file, are skipped automatically - for a player with no email, open their profile and send (or share) the link individually instead.
What parents complete - the form collects date of birth, BIPIN (Basketball Ireland Player ID), a primary contact's name/phone/email (required) plus an optional second contact, medical notes (allergies, conditions), media consent, and club and Basketball Ireland registration status. If the player already has any of these details on file, they're pre-filled to confirm.
Youth vs adult teams - on a youth team the form asks for Parent/Guardian 1 & 2 and parental + photo consent; on an adult team it asks for the player's own details ("Your Details" / "Emergency Contact") and a self-consent tick instead. A toggle at the top of the form ("This player is under 18") switches between the two - it auto-flips based on whatever date of birth gets entered, so a minor playing up on an adult team is still routed to the parental-consent version even if the link was generated before that was known.
Link expiry — each link is valid for 7 days and can only be used once. If a link expires before the parent submits, or a parent needs to update their details, generate a new link from the player profile. The old link is automatically invalidated.
Coach notification — when a parent submits the form, you receive an in-app notification and a red dot appears on the player's card. Open the player profile to review the updated details and clear the indicator.
Consent status — the player profile shows full consent history. The Committee Dashboard shows a club-wide consent completion rate across all teams.
Data security — consent data is stored in a Firestore subcollection accessible only to team members and admins. Tokens are validated server-side and cannot be reused.
Incident Reports
Confidential safeguarding workflow for CPOs and reporters
Incident Reports provide a confidential safeguarding workflow for clubs on the Club plan and above. Access via ■ menu → Incident Report.
Reporting an incident — any club user can file a report. Fill in the title, date, location, persons involved, witnesses, description of the incident, and any actions already taken. You can also attach photos or documents (images, PDFs, Word docs — up to 5 files, 10MB each). Save as a draft to return to it later, or submit directly to the Child Protection Officer (CPO).
CPO workflow — the designated CPO (a user with the Child Protection club role) sees all submitted reports. They can update the status (Sent → Ongoing → Resolved), add comments, and communicate progress back to the reporter.
Notifications — a red dot badge appears on the menu button when there are unread updates. Reporters are alerted when the CPO updates status or adds a comment. When a report is submitted, the CPO receives both an in-app notification and an email alert with a direct link to the report — the link opens the app and takes the CPO straight to that report once they are logged in. No incident details are included in the email.
Privacy — reporters can only see their own reports. Only the CPO has full visibility across all club incidents. Draft reports can be edited or deleted by the reporter before submission.
Club Directory
Staff contacts, Garda vetting status, club venues and your SquadApp contact
The Club Directory is available to all users via ■ menu → Club Directory. It shows club committee members, coaching staff, training venues, local referees, social links, and your club's SquadApp Club Admin contact.
Committee & Club Info - all users can see committee members and general club information. Coaching staff names and roles are also visible to everyone.
Sensitive staff data - Garda vetting status, qualifications, and direct contact details for coaches and managers are only visible to Committee members and Admins on Pro plan. Other users see a lock prompt instead.
SquadApp Club Admin - a name, email and phone number for the club's main SquadApp point of contact, shown to all users in its own section.
Training venues, local referees, social links, and the SquadApp Club Admin contact can be edited in-app by the club Admin or Chairperson - tap the pencil icon on each section. Committee member entries themselves are managed via Admin Panel → Access.
Roles & Permissions
Team and club-level roles and what each can access
Team-level roles
Roles are per team — the same person can be a Coach on one team and an Assistant on another. Change roles per team from Admin Panel → Access.
CoachFull read/write — add, edit, and delete players, sessions, fixtures, and matches. Only role that can send match and training invites or generate fixture squads.
ManagerFull player and fixture admin — add and edit players, mark attendance, view and post notices. Cannot send match or training invites, generate squads, or delete sessions, fixtures, or match entries.
AssistantView all data. Can mark training attendance and edit session notes and plan fields. Cannot create or delete sessions, players, fixtures, or matches. This restricted mode applies only when all of a user's team roles are Assistant.
Club-level admin
AdminFull Admin Panel access — manage all users, teams, roles, and invites across the club. Assigned separately from team roles via the Access tab.
Club-level roles
Child Protection Officer CLUB+Incident reporting for all staff on Club plan. On Pro, also unlocks the CPO compliance dashboard: Staff Compliance (Garda vetting & safeguarding expiry dates, exportable as CSV), Player Summary (parental & media consent across all teams, exportable as CSV), and Edit History — the last 100 changes to sensitive player fields across all teams, with before/after values and editor name. Use the Export button on the Edit History tile to download the full history as CSV.
Fixture Coordinator (FC) PROAccess to the cross-team Coordinator View. Manages fixture schedules across all teams from a single view.
Committee PROAccess to the Committee Dashboard — a read-only club-wide overview of player counts, training activity, win/loss records and consent completion. Each role gets its own named view: Chairperson View, Treasurer View, Registrar View, or Committee View.
Admin Panel
Manage users, teams, invites and roles across the club
Open via ■ menu → Admin Panel. Visible to users with the Admin role only.
Users tab — view all club users and their current team assignments at a glance.
Teams tab - create new teams, rename existing teams, or delete a team. Free plan: 1 team max. Basic: 3 teams max. Club/Pro: unlimited. Use Club-Wide Import (above Create New Team) to create all teams and add all players from a single CSV - ideal for onboarding a full club at once. CLUB+
Remove players from a team (bulk) - in an expanded team's player list, select one or more players and tap Remove from Team. A player not on any other team lands in the Unassigned pool shown below the team list, where an admin can reassign them to any team later without re-creating their profile. A player who's also on another team just comes off this one - that other team is unaffected and they don't go to Unassigned. Any coach can also remove a single player from their own team's player profile, not just admins here.
Access tab — search for any club user by email to manage their access. Grant or revoke team access individually, set a different role per team (Coach, Manager, or Assistant), and assign committee roles (CPO, FC, Committee) in the expandable Club Roles section. Also used to promote/demote Admin, invite new staff, and delete accounts. Revoke All Access removes all team assignments, committee roles, and admin access in one action — the account is kept and can be re-granted at any time.
Members tab — move players between teams within the club. Admins can also run the BI Registration Import from this tab — tap the button in the action bar to bulk-update Basketball Ireland registration status from a Sport:80 CSV export. This is the entry point for admins who have no committee role and therefore don't reach the Committee Dashboard.
Staff tab — view all staff across all teams. Updates automatically after any Access tab change.
Legal — access Terms of Service, Data Processing Agreement (DPA), DPIA Notice, and Privacy Policy via the ■ menu → Legal. Available to all club users.
Committee Dashboard
Club-wide stats and consent overview for committee members
Users assigned a committee role land directly on their named view when they sign in. Each role has its own label: Chairperson View, Treasurer View, Registrar View, or Committee View. Users with both a committee role and team roles can switch between views via the ■ menu — the button shows their role-specific label. The club crest appears in the header of the committee, CPO, and Fixture Coordinator views.
The dashboard shows a club-wide read-only summary: player counts per team, total sessions logged, win/loss records, and consent completion rates across all teams.
Player totals count unique individuals — a player registered across multiple teams is counted once, not once per team. The Multi-Team Players stat shows how many people appear on more than one team roster.
Tap any stat tile to drill into the detail — for example, tap BI Registered to see a team-by-team breakdown of unregistered players.
BI Registration Import — Registrars and Admins see a BI Registration Import tile at the bottom of the dashboard. Upload the CSV exported from Sport:80 (Basketball Ireland's portal) to bulk-update registration status across all teams in one go. SquadApp matches players by BIPIN or name + date of birth, updates their BI Registered flag and BIPIN, and shows a full results summary (registered, not registered, not found in SquadApp, cleared). Players not on the BI list can be exported as a CSV for follow-up. Download a template from the import modal. Admins without a committee role can also access this from Admin Panel → Members tab. PRO
Noticeboard
Post club-wide announcements visible to all members and parents
The Noticeboard is accessible to all club members and parents via a public link. Coaches and managers can post club-wide announcements visible to everyone on the team.
Post a notice — tap + Notice inside the Noticeboard panel. Set a title, message body, category (General, Training, Match, Admin), and an optional expiry date. Pinned notices appear at the top regardless of post date.
Expiry — notices with an expiry date are automatically hidden from parents after that date. They remain visible to coaches and managers as expired entries.
Delete a notice — coaches and managers can delete their own notices. Admins can delete any notice.
Public link - the noticeboard can be shared with parents as a read-only public URL (no sign-in required). Access it via ■ menu → Noticeboard.
Fixtures - the same public link has a Fixtures tab showing the team's full season schedule, with the next match highlighted and a one-tap button for parents to add it to their calendar.
New Season
Archive current season data and start fresh
Tap ■ menu → New Season to archive the current season's training and match data and start fresh. This option is available to admins, coaches (for their own team), and Fixture Coordinators (for all teams at once).
Enter a season label (e.g. 2024/25) and choose an archive cutoff date. Sessions and matches dated before the cutoff are archived; any dated on or after it remain in the current season. The cutoff defaults to 1 August of the current season year.
Archived records remain visible in a collapsible Previous Seasons section in both the Training and Games tabs.
Player rosters, squad statuses, and fixture lists carry forward to the new season. Club Registered and Basketball Ireland Registered flags are cleared for all active players, ready for re-registration in the new season.
Security & Data Protection
Authentication, GDPR compliance and Firebase certifications
Authentication
All access requires a verified email and password via Firebase Authentication. New users can only join via a unique invite link generated by an Admin — there is no open self-registration. Email addresses are verified before access is granted.
Where your device supports it, you can enable biometric sign-in (passkey / Face ID / fingerprint) for faster access. Passkey credentials are stored on your device only and are never sent to our servers.
You can optionally enable two-factor authentication (2FA) via an authenticator app (Google Authenticator, Authy, etc.). When enabled, you'll need your password plus a 6-digit code from the app to sign in. Enable it via ■ menu → Two-Factor Auth.
Bot & abuse protection — reCAPTCHA / App Check
The app uses Google reCAPTCHA v3 via Firebase App Check to verify that requests come from the genuine app and not from automated scripts or bots. This runs silently in the background — you will not see a CAPTCHA challenge during normal use. App Check tokens are validated server-side by Firebase on every Firestore and Auth request.
Server-side security rules
All database reads and writes are governed by Firestore Security Rules deployed on Google's servers. These rules enforce role-based access at the data level — a coach can only read and write data for teams they are assigned to. No client-side code can bypass these rules. Even if someone inspected the app's JavaScript, they could not read another club's data or write data they are not authorised for.
Data storage & encryption
All data is stored in Google Firestore, hosted in the EU (europe-west) region. Data at rest is encrypted by Google. All data in transit between your device and Firebase is encrypted using TLS (HTTPS). No data is stored on your device beyond what your browser caches for performance.
Content Security Policy (CSP)
The app enforces a strict Content Security Policy via HTTP headers. This prevents cross-site scripting (XSS) attacks by blocking any scripts, styles, or resources not explicitly whitelisted. Only Google Fonts, Firebase SDKs, and the reCAPTCHA service are permitted external connections.
Data access & isolation
Each club's data is stored in an isolated Firestore path. No user can access another club's data — not even other clubs using the same app. Within a club, player data is only visible to coaches and managers assigned to that specific team. Admins can access all teams within their club, but cannot access other clubs. No player data is shared with third parties or used for advertising.
Parental consent data
Consent forms submitted by parents are stored as separate, access-controlled documents. They are accessible only to admins and the coaches of the relevant team. Consent tokens (links) are single-use and expire after the parent submits the form.
Training & match invite responses
A parent's yes/no response to a training or match invite is kept as part of the team's attendance history. Any free-text comment left alongside a response is automatically cleared after 90 days - the response itself is retained, only the comment text is removed.
Your right to erasure (GDPR Art. 17)
Under GDPR you have the right to request deletion of your personal data. You can permanently delete your own account at any time via ■ menu → Delete Account. Type DELETE to confirm — this removes your authentication record and all associated user data from Firestore immediately and cannot be undone. Player records held by a team are the responsibility of the club admin and must be deleted separately via the Players tab.
Google Cloud / Firebase certifications: ISO 27001 · SOC 1/2/3 · ISO 27017 · ISO 27018 · PCI DSS. Firebase infrastructure is audited annually against these standards. See firebase.google.com/support/privacy for full details.
Account Settings
2FA, notifications, biometric sign-in, coaching certification and account deletion
Two-Factor Authentication (2FA)
Add an extra layer of security to your account by enabling TOTP-based two-factor authentication. Once active, signing in requires both your password and a 6-digit code from an authenticator app (Google Authenticator, Authy, or any TOTP-compatible app).
Enable or disable via ■ menu → Two-Factor Auth. When enabling, you'll scan a QR code with your authenticator app and verify a code to confirm setup. A green ON badge appears in the menu when 2FA is active.
Recommended — enabling 2FA is strongly recommended for all Admin and Coach accounts, as these have write access to player data.
Notifications
Turn on phone or computer notifications via ■ menu → Notifications. You'll be notified when a parent submits a consent form you sent, and Child Protection Officers are notified when a new incident report needs review (the notification never shows the report's details). A green ON badge appears in the menu when notifications are on for that device. Tapping Notifications opens a window showing whether they are on for that device, with a button to turn them on or off, and switches to choose which invite replies (accepts or declines, for training and for matches) you are told about. To begin with, declines are on and accepts are off. Those choices apply on all your devices. Each device is turned on separately, and signing out turns them off on that device.
iPhone / iPad - add SquadApp to your Home Screen first (Share, then Add to Home Screen), open it from there, then turn Notifications on. Apple only allows notifications from Home Screen apps, not Safari tabs.
Biometric sign-in (Passkey / Face ID / Fingerprint)
On supported devices you can register a passkey for faster, password-free sign-in using Face ID, Touch ID, or your device PIN. Passkey credentials are stored on your device only and are never transmitted to our servers. Register a passkey via the sign-in screen after your first successful email/password login.
Delete Account
You can permanently delete your account at any time via ■ menu → Delete Account. This is irreversible — your login credentials and all associated user data are removed immediately from Firebase Authentication and Firestore. Type DELETE in the confirmation field to proceed.
Note — deleting your account does not delete player records held by your team. Player data is the responsibility of the club admin and must be removed separately via the Players tab. This aligns with GDPR Article 17 (Right to Erasure) for your personal account data.
My Details - Coaching Certification
Via ■ menu → My Details, update your display name and record your qualifications. The Coaching Certification block takes a qualification name (e.g. Intro to Coaching, Level 1) and completion date - expiry auto-calculates at 3 years and is shown in green (valid), amber (expiring within 90 days), or red (expired). This information feeds into the CPO compliance dashboard for staff with the Pro plan.
My Details - Garda Vetting & Safeguarding
In the same My Details screen, an Update dates card lets you record your own Garda vetting and Safeguarding course completion dates - no need to wait for the CPO to enter them for you. Expiry is colour-coded the same way as Coaching Certification and feeds the same CPO compliance dashboard. Keeping this current is what lets your CPO see the club's real vetting status at a glance instead of chasing individual staff.

SquadApp
Last updated: May 2026
Who we are
This application is operated by your club, based in Ireland. Your club is the data controller for the personal data processed through this app. SquadApp acts as data processor on behalf of your club under a Data Processing Agreement. You can contact the club regarding data matters at your club administrator.
What data we collect
We collect and store the following personal data about coaches, team managers, and players:
Account holders (coaches & managers)
Email address, display name, team assignments, and role (coach or team manager).
Players
Full name, squad number, date of birth, BIPIN registration number, the name, phone number and email address of up to two parents or guardians, training attendance records, match participation records, and squad status.
Youth players (U6–U16)
In addition to the above, we record whether written parental consent has been received for participation.
Why we collect it & our legal basis
→Legitimate interests (Art. 6(1)(f) GDPR) — managing team rosters, training attendance, match squad selection, and game records are necessary for running a sports club.
→Legal obligation (Art. 6(1)(c) GDPR) — BIPIN numbers and date of birth are required for Basketball Ireland player registration.
→Consent (Art. 6(1)(a) / Art. 9(2)(a) GDPR) — for youth players, we record that written parental consent has been obtained before processing the child's data.
Who can see the data
Player data is accessible only to coaches and team managers assigned to that specific team. Club administrators can access data across all teams for management purposes. No player data is used for advertising or shared with any third party except the sub-processors listed below, which are required solely to operate the service.
Google Firebase (Google LLC, USA — EU infrastructure)
Database, authentication, and hosting. All data is stored in Firebase's EU multi-region (eur3). Covered by Standard Contractual Clauses under GDPR.
Brevo (Sendinblue SAS, France — EU)
Email delivery. Parent or guardian email addresses are passed to Brevo to send match availability invites, training availability invites, and noticeboard notifications posted by the club. Staff email addresses are passed to Brevo solely to send staff invite emails. Brevo is EU-headquartered and GDPR-compliant. Delivered emails are purged from our system within 24 hours of confirmed delivery.
How long we keep it
•Active player records are kept for the duration of a player's membership with the club.
•When a player leaves the club, their record is retained for 3 years from the date of departure, then automatically deleted. A leftAt timestamp is recorded on the player document when they are removed.
•Safeguarding records (incident reports) are retained for 7 years from the date the report was filed, in accordance with Basketball Ireland and Tusla safeguarding standards. Parental consent records are retained for 7 years from the date the player leaves the club.
•Archived season data (training and match history) is retained for up to 3 years after the season end date, then deleted.
•Coach, manager, and club staff accounts are removed from all team and club role assignments when they no longer hold a role. Their account is deleted after 3 years from the date their last role was removed, recorded as rolesRemovedAt on the user document.
•Coach and manager accounts are removed when they no longer hold a team role.
Your rights under GDPR
Under the General Data Protection Regulation and the Data Protection Act 2018, you have the following rights:
✓Right of access — request a copy of the data we hold about you or your child.
✓Right to rectification — ask us to correct inaccurate data.
✓Right to erasure — request deletion of your data where there is no overriding legal obligation to retain it.
✓Right to object — object to processing based on legitimate interests.
✓Right to restrict processing — ask us to limit how we use your data while a complaint is being resolved.
✓Right to data portability — receive your data in a structured, machine-readable format (use the Export functions in the app).
To exercise any of these rights, contact your club administrator at the email listed above. We will respond within 30 days. If you are unsatisfied with our response, you have the right to lodge a complaint with the Data Protection Commission (Ireland) at dataprotection.ie.
Children's data
Where players are under 18, we process their data only on the basis of written parental or guardian consent, which is recorded within this application. The age of digital consent in Ireland is 16 — for children under 16, verifiable parental consent is required. Parents and guardians may contact the club administrator at any time to access, correct, or request deletion of their child's data. We do not use children's data for any purpose other than club management, and it is never transferred outside the EEA.
Security
All data is stored in Google Firebase, which is certified to ISO 27001 and SOC 2/3 standards. Access is protected by Firebase Authentication and server-side security rules that enforce role-based access. Data in transit is encrypted using TLS. We also use Google reCAPTCHA v3 (App Check) to protect against unauthorised automated access.
This policy may be updated from time to time. The date at the top of this page indicates when it was last revised. Continued use of the application after changes constitutes acceptance of the updated policy.
